MEC RESET LLC dba Menowave

Client Privacy and Confidentiality Policy

Effective October 6, 2026

About This Policy

MEC RESET LLC dba Menowave, an Idaho limited liability company registered to do business in Ohio, located at 5813 Monroe St. #127, Sylvania, Ohio 43560 ("Menowave," "we," "our," or "us"), respects your privacy. This Policy explains what personal and health-related information we collect, how we use and protect it, and the choices you have.

This Policy applies to all of our programs, products, and services, including the Menopause Empowerment Circle ("MEC") coaching program, the Menowave Club membership ("The Club"), our website, quizzes, events, and email communications (together, our "Services").

Menowave provides education and coaching. We are not a medical practice, we do not bill health insurance, and we are not a "covered entity" under the Health Insurance Portability and Accountability Act (HIPAA). Even so, we treat the health information you share with us as private and protect it as described below and in our Notice of Privacy Practices.

This Policy works together with our Terms of Use. By purchasing, enrolling in, or using our Services, you acknowledge that you have read and understood this Policy.

Information We Collect

We collect only what we need to provide and improve our Services:

  • Contact and account details: name, email address, phone number, mailing address, time zone, and login details for our platforms.
  • Payment details: billing information processed by our third-party payment processors. We do not store full card numbers.
  • Health and wellness information you choose to share: symptoms, menopause stage, health history, lab results, medications and supplements, nutrition, sleep, activity, body measurements, goals, and progress.
  • Intake forms, quizzes, and check-ins: your answers to our symptom quiz, intake questionnaires, membership questions, surveys, and coaching check-ins.
  • Program participation: messages, posts, and comments in The Club, attendance at calls, and coaching notes.
  • Website and email data: basic usage data such as pages visited, device and browser type, and whether you open or click our emails, collected through cookies and similar tools.

How We Use Your Information

We use your information to:

  • Deliver your coaching, personalize your plan, and track your progress.
  • Schedule sessions and send reminders, including by email, text, or voicemail.
  • Run MEC, The Club, and our group calls and events.
  • Process payments and manage your account.
  • Answer your questions and provide support.
  • Improve our programs. When we review results across many clients, we combine and de-identify the data so it cannot be traced back to you.
  • Send you program updates and, if you have opted in, newsletters and offers.
  • Meet our legal and tax obligations.

We never sell or rent your personal or health information.

Coach Confidentiality

What you share with your coaches stays private. Access to your information is limited to the Menowave coaches, team members, and independent contractors who need it to support you. Everyone with access agrees to keep it confidential.

Our co-founders and coaches may discuss your progress with each other so you get coordinated support. Some of our coaches also hold professional licenses (for example, as a registered dietitian or therapist). Their work inside MEC and The Club is coaching and education, not licensed clinical treatment, unless you separately enroll with their own practice under that practice's own agreements and privacy notice.

Group Programs and The Club Community

MEC and The Club include group calls and an online community where members share with each other. Anything you post, say, or show in a group setting can be seen by other members, and we cannot control what they do with it. Please share only what you are comfortable having other members know.

As a member, you agree to:

  • Keep what other members share private. What is shared in the group stays in the group.
  • Not record, screenshot, copy, or repost other members' names, stories, photos, or posts.
  • Treat other members with respect.

We may remove posts or end access for members who break these rules, as described in our Terms of Use.

Recordings

We may record group coaching calls, workshops, and expert sessions so members who miss them can watch later. Recordings are shared only inside the program or The Club and are not made public without the permission of the people who appear in them.

You can protect your privacy on a recorded call by turning off your camera, changing your display name, or asking a question in private chat. One-on-one sessions are recorded only if you agree.

Testimonials, Photos, and Social Media

By joining our Programs, you give us permission to share your wins, posts, comments, and progress from MEC and The Club in our marketing, website, and social media. We will remove your last name and other identifying details, and we will ask before sharing your photo or full name. If you prefer that we not share your content, email [email protected] and we will stop going forward. We cannot recall content already published or shared by others.

Third-Party Platforms

We use trusted service providers to run our business, such as our community and payment platform (Skool), video calls (Zoom), scheduling (Calendly), email and marketing tools, file storage (Google Workspace), payment processors, and AI tools that help us organize notes or create program materials. These providers store or process your information only to perform services for us.

Each provider has its own privacy policy and security practices, and your use of their platforms is also subject to their terms. We choose providers carefully, share only what each one needs, and do not allow them to sell your information.

When We May Share Information Without Your Permission

We share your information outside Menowave only with your permission, except in these limited situations:

  • Safety: when we believe in good faith that sharing is needed to prevent serious and imminent harm to you or someone else, such as contacting emergency services.
  • Required by law: to comply with a court order, subpoena, or other legal process, or with a request from law enforcement or a government agency that we are legally required to follow.
  • Protecting our rights: to enforce our Terms of Use, resolve disputes, or prevent fraud.
  • Business transfer: if Menowave is sold, merged, or reorganized, your information may transfer to the new owner, who must continue to protect it under terms at least as protective as this Policy.

In any of these cases, we share only the minimum information needed.

Emails and Marketing

As a client or member, you will receive messages about your program, such as schedules, reminders, and account notices. If you opt in, we may also send newsletters, tips, and offers about Menowave programs and events. You can unsubscribe from marketing emails at any time using the link at the bottom of any email or by contacting us. You will still receive messages needed to run your program.

How We Protect and Keep Your Information

We use reasonable safeguards to protect your information, including password-protected accounts, limited team access, and secure, reputable platforms. No online system is completely secure, however, and we cannot guarantee that information will never be accessed without permission. If we learn of a breach that affects your personal information, we will notify you as required by law.

We keep your information for as long as you are an active client or member, and afterward only as long as needed for legal, tax, and business purposes. When it is no longer needed, we delete it or make it anonymous.

Your Choices and Rights

You may contact us at any time to:

  • Ask what personal information we hold about you and get a copy.
  • Correct information that is inaccurate or incomplete.
  • Ask us to delete your information, unless we must keep it for legal, tax, or business records.
  • Ask us to limit how we contact you, such as email only or a specific address.
  • Ask us not to share your wins or posts in our marketing, or withdraw any permission you have given.

We will respond to reasonable requests within 30 days. Depending on where you live, you may have additional rights under your state's privacy laws, and we will honor them as required.

Coaching Is Not Medical Care

Our Services are for education and coaching only. They are not medical advice, diagnosis, or treatment and do not replace care from your doctor or other licensed health care provider. Always talk with your provider before changing medications, supplements, diet, or exercise, and call 911 in an emergency.

Age Requirement

Our Services are for adults 18 and older. We do not knowingly collect information from anyone under 18.

Changes to This Policy

We may update this Policy from time to time. When we do, we will post the new version with its effective date and, for significant changes, let current clients and members know by email or in The Club.
